A useful hotel purchasing list starts with the room you actually operate. A motel room, a serviced apartment and a holiday rental can need different products. Begin with the bed, bathroom and housekeeping routine, then add items that match the service you offer.
Start with the bed and bathroom
Record the mattress width, length and depth before selecting fitted sheets or protectors. Check quilt-cover and quilt-insert dimensions together, and compare pillowcase size with the actual pillow. Keep covers, inserts and protectors as separate lines in the order so a replacement can be purchased without replacing the whole bedding arrangement.
For bathroom linen, define the job of each piece: bath towel for drying after bathing, hand towel beside the basin, face washer for personal washing and a towel-style bath mat for the floor outside the shower. Confirm dimensions, material, pack quantity and care instructions. Treat piece weight and GSM as different measurements.
Choose guest amenities to match your service
List shampoo, conditioner, body wash, lotion and soap separately, with the fill volume and units per sales pack. A pack of shampoo is not a mixed toiletries set unless the listing explicitly says so. Decide which items are placed in every room and which are available on request. Toothbrush kits, shower caps, slippers and robes depend on the property and guest expectations.
Check guest-room equipment before ordering
For a hair dryer, kettle or iron, request the exact model, rating information, applicable electrical documentation, operating instructions and warranty terms. Check installation requirements for wall-mounted equipment. Confirm how many matching units can be supplied and whether a replacement will be available later.
Check the dimensions of luggage racks, bins and welcome trays against the space in a sample room. For a tray holding a kettle and cups, measure the usable surface and consider how staff will clean it. Order tea, coffee, sugar or milk separately unless their inclusion is expressly stated.
Keep housekeeping supplies on a separate list
Room furnishings and cleaning equipment serve different buying needs. Keep cleaning carts, laundry collection, mops, replacement cloths and bin liners on an operational list. Check trolley width against doors and corridors, and confirm compatible bags, wheels or mop heads. Select cleaning products for the actual surface and follow their labels and safety instructions.
Convert packs into individual pieces
Record both quantities: the number of sales packs ordered and the individual pieces received. Two six-packs of towels provide twelve towels. Three fifty-bottle packs provide one hundred and fifty bottles. Do not combine an each-price from one supplier with a pack-price from another without doing that conversion.
Try one room before scaling up
When you are changing a product, check a small quantity in an actual room and through your usual cleaning or laundry process. Confirm fit, handling and care before using it as the property standard. Then retain the approved product link, selected variant, pack size and supplier information for the next order.
