Guest amenities are easy to under-order when the room standard, individual bottle count and supplier pack quantity are mixed together. A simple unit system makes purchasing and stock checks more reliable.
Define the room standard
List the amenities placed in each room at arrival and the rules for replenishment during a stay. Shampoo, conditioner, body wash, body lotion and soap should be counted separately. Record bottle or bar size as well as quantity. A 25 ml item and a 30 ml item are different stock lines even when the packaging looks similar.
Use three quantities
- Individual units: bottles, tubes, bars or kits used in rooms.
- Sales packs: the quantity sold as one online product or carton.
- Order quantity: the number of sales packs placed in the cart or quote.
If a product is sold as 50 bottles per pack, an order quantity of 2 means 100 bottles. Keep that conversion visible in the purchasing sheet and on internal stock labels.
Estimate consumption from operations
Start with occupied room nights, the number of units placed per arrival and the expected replenishment rate. Add allowances only when supported by your own usage history. Long stays, family rooms and housekeeping policy can materially change consumption, so review actual issue quantities each month.
Set a reorder point
A practical reorder point covers expected use during supplier lead time plus a reserve for delivery variation and occupancy spikes. Calculate in individual units first, then round up to complete supplier packs. Keep low-stock alerts aligned with the pack conversion so a count of “10” cannot be mistaken for ten cartons.
Check more than price per bottle
Compare the same fill volume and pack quantity. Also check ingredient or label documents, batch traceability, packaging format, dispenser compatibility and whether the line can be reordered consistently. A low unit price does not replace the need for accurate product information.
